EndNote - Basic (Online) & Desktop

This guide contains information on the citation management tool EndNote. Content references both the Basic (Online/Free) version and the Desktop (Paid) version.

Create an EndNote Library

  1. Open EndNote
  2. Choose "Create a new EndNote library" (or click on File then New)
  3. Specify a location for your library on your computer and give your library a name
  4. EndNote creates two files:  .enl and .data:  it is important to keep these files together!

Export from PubMed, Import into EndNote

  1. IN PUBMED:  Conduct your search in PubMed
  2. Select desired citations and then:
    • Send to > Citation manager > Select the number to send then click Create File
    • You can select "Open with EndNote" from the action window.  This will automatically open EndNote and import the citations.
    • If this feature does not work, then select "Save File" (the file is automatically named citations.nbib) and follow the instructions below to import the citations into PubMed.

1.  IN ENDNOTE:  File > Import > browse to the citations.nbib file and select it

2.  Under Import Option use the drop down menu and select Other filters > Select PubMed (NLM).
Click Import.  Your references should now appear in your EndNote library.

How to Add Website References

Use the web page reference type to add details of web pages you need to cite in your work e.g. the homepage of an NGO

  1. Select the Web Page Reference Type
  2. Author: consider if your page has an individual author e.g. a specific journalist on a BBC news web page item. If you cannot see an individual author, then you may need to include the institution responsible for the web site e.g. BBC News,
  3. Year: Add details of the date of publication or last update of the web page to this field, which is not necessarily the year you have accessed it
  4. City: If you can't see a specific place of publication you may wish to use the home city of the institution responsible for the web pages
  5. Publisher: This is usually the name of the organisation responsible for the web pages
  6. Access Year: Enter the year you have accessed the site only - do not enter the month and day in this field
  7. Access Date: Enter the day and month of access, but do not include the year
  8. URL: Add the web page address of the site you have accessed

Tips

Extensions...

EndNote will create two files with the file extensions .data and .enl:  it is important to keep these together.

Search Directly...

Search PubMed directly from EndNote to pull in known citations (do not use this method for your topic searches):

  • Click on Edit > Open Connection Manager > Choose PubMed

Large Numbers of Citations...

PubMed limits exports via the Send to Citation Manager path to 200 citations at a time.  For larger numbers of citations, use this method to capture all citations at the same time.

Have all desired records in the display in the search results or clipboard view.  From the Send to menu, select File and change the Format to MEDLINE.  Click Create File.  The file will be automatically named pubmedresult.txt.

NOTE: If any records are checked, only those will be exported.

Import the file into EndNote using the PubMed(NLM) filter.

Export from other databases into EndNote

Look for the option to export citations directly into EndNote from various databases, such as:  Web of Science, CINAHL Plus, PsycInfo, and more.  This feature is not available in PubMed.

Many databases other than PubMed export citations in RIS format. For these, follow the import steps above but select Reference Manager (RIS) for the Import Option.

Importing references from Google Scholar:  Visit the Scholar Preferences page and select the EndNote citation format in the "Bibliography Manager" section.

Use the UW Libraries' catalog to find books and websites for easy importing.
